Question 1: Describe a situation where you have had to complete a challenging task to a tight deadline

[SITUATION] I am experienced in delivering to tight deadlines. In my role as __________ at ________I was asked to co-ordinate an event for clients which was to take place in one months time. [TASK] The theme of the event needed to selected as well as an appropriate venue. [ACTION] I selected a small team to organise the evening, and allocated the different tasks to the group members: I drew up an plan with a strict timetable and emphasised the importance of adhering to this. I had to constantly progress and chase individuals to make sure they were keeping to the schedule.. [RESULT] As a result of my planning and monitoring I managed to pull the event together in time. Over 100 people attended and the events as recognised as a success.

Question 2: Are you able to manage competing deadlines at the same time?

[SITUATION] In my last role I was successful in managing work with competing deadlines. [TASK] For example last year I led on 3 projects which all had to be delivered before the end of the financial year. [ACTION] I was able to keep on top of multiple assignments by creating detailed project plans and regularly reviewing progress against them. I prioritised my time in advance so that I knew what, when, and how each aspect of the project was due [RESULT] Using these techniques I successfully delivered all 3 projects to time and scope.

Question 3: How do you manage your time and prioritise your work?

[SITUATION] When completing my studies I had multiple assignment deadlines as well as my final year exams. [TASK] I had to ensure that I managed my time so that I met deadlines and put in enough revision [ACTION] At the start of the year I drew up a detailed plan of assignment deadlines and exam dates. I kept rigidly to the plan and it allowed me to keep my discipline. [RESULT] As a result of this planning and my discipline I achieved my grade target.

TASK

What did you have to do. For example, “I had to organise alternative caterers and without the guests knowing. The failure of the event would have been a disaster for the company.”

ACTION

What did you actually do. For example, “I spoke to the venue owner and we identified other caterers who may be able to help at short notice. I contacted all of them and identified one who could cater the event albeit one hour later than planned.”

RESULT

How did the situation play out. For example, “Catering was provided in line with guest expectations. The evening, after this initial hiccup, went seamlessly. I was congratulated by the senior managers for sorting out what could have been a catastrophe.”

Constructing your answers in this way will ensure you fully address the question / scenario given and the criteria the panel are measuring you against.
