Question 1: What do you feel is the most important skill that is required of a receptionist?
[SITUATION] I have worked on the reception areas at _______ and _______ companies. [TASK] My tasks in these roles covered the whole range of receptionist duties. [ACTION] The skills I have match those required in these roles and were; organisation, communication, excellent customer service, listening, problem solving, knowing how the organisation works and IT skills. For me, the most important of these is communication. [RESULT] Possessing the above skills meant that I effectively carried out my receptionist duties.
Question 2: How did you deal with exceptionally busy times?
[SITUATION] My role at ________ was always exceptionally busy. [TASK] Irrespective of the volume of customers, I always had to deliver exceptional customer service and ensure customer demands were well met. [ACTION] The busier a reception the more important it is to be organised. I had well documented work processes and clear activity for the day. Due to this I would be able to cope well with frequent disruption without feeling overwhelmed. [RESULT] The result, I dealt with high volumes of customers and managed to execute all other related tasks within my work day.
Question 3: How did you organise your schedule?
[SITUATION] In extremely busy areas, such as a reception desk, organisation is key. [TASK] I would have other activities to conduct beyond dealing with customers face to face. [ACTION] In order to organise myself I had a clear diary plan in Microsoft Outlook. I would also use clear, prioritised task lists. I would develop this first thing in the morning so I had clarity on the day’s activity. I would revisit this throughout the day to assess progress and re-prioritise if needed. [RESULT] I have always been organised and using these methods have been able to stay organised and effective in extremely busy environments.

Set the context of your answer. Tell the panel, where, when and why this situation came to be. For example, “Whilst working in my current role, we were holding an event in which 100 plus people were due to attend any minute. That’s when I was notified the caterers weren’t able to make it.”
What did you have to do. For example, “I had to organise alternative caterers and without the guests knowing. The failure of the event would have been a disaster for the company.”
What did you actually do. For example, “I spoke to the venue owner and we identified other caterers who may be able to help at short notice. I contacted all of them and identified one who could cater the event albeit one hour later than planned.”
How did the situation play out. For example, “Catering was provided in line with guest expectations. The evening, after this initial hiccup, went seamlessly. I was congratulated by the senior managers for sorting out what could have been a catastrophe.”
Constructing your answers in this way will ensure you fully address the question / scenario given and the criteria the panel are measuring you against.
