Question 1: What administration experience do you have?

[SITUATION] I have extensive administration experience gained through my roles at ______, _______ and ______. [TASK] My responsibilities within this team were to data input, answer telephone calls, deal with enquiries, order stationary. organise events and minute meetings. [ACTION] I always undertook my activities in a structured, organised and prioritised way. I would utilise, or create, office process documents to aid me or others in core activities. [RESULT] By using this approach I provided a highly effective business support service which was a core enable to business activities.

Question 2: Are you comfortable handling a high volume of phone calls?

[SITUATION] Receiving a high volume of calls was a huge part of my roles at ______ and ______. [TASK] I would be responsible for receiving the calls, resolving all that I could or referring onto another department if the query was more specialist. [ACTION] Due to the volume it was imperative that I quickly understood the nature of the call and dealt with it effectively. All while providing exceptional customer service and experience. Being structured in how I dealt with calls made the volume easier to deal with. [RESULT] I deal with all calls effectively never once receiving negative feedback or any messages / actions being lost in the process.

Question 3: Why is it important to have and follow office processes?

[SITUATION] In my role at ______ there were no office processes in place. [TASK] As part of my role I was tasked with documenting the processes, which included designing them in the most efficient way. [ACTION] I undertook this by understanding the inputs and required outputs and then the core activities in-between. This involved speak with team members and managers. [RESULT] Once complete we had documented office processes to be used by all staff in the team. This meant work was completed much quicker with all steps satisfied. When I first joined, key steps would be missed and work would be much slower in completing.

SITUATION

Set the context of your answer. Tell the panel, where, when and why this situation came to be. For example, “Whilst working in my current role, we were holding an event in which 100 plus people were due to attend any minute. That’s when I was notified the caterers weren’t able to make it.”

TASK

What did you have to do. For example, “I had to organise alternative caterers and without the guests knowing. The failure of the event would have been a disaster for the company.”

ACTION

What did you actually do. For example, “I spoke to the venue owner and we identified other caterers who may be able to help at short notice. I contacted all of them and identified one who could cater the event albeit one hour later than planned.”

RESULT

How did the situation play out. For example, “Catering was provided in line with guest expectations. The evening, after this initial hiccup, went seamlessly. I was congratulated by the senior managers for sorting out what could have been a catastrophe.”

Constructing your answers in this way will ensure you fully address the question / scenario given and the criteria the panel are measuring you against.
